ATS-Friendly Resume Format (2026): what the software reads

An ATS-friendly resume is one the recruiter's software can read from top to bottom without losing a line. Many large employers in India, including the big IT services companies, screen applications through an applicant tracking system before a recruiter opens them. If the parser drops your skills section or scrambles your dates, your ATS score falls before anyone reads a word.

Build this format from your own details and download it as a Word (DOCX) or PDF file, free. Start with your resume.

Section order

  1. 01Name and contact details in the page body
  2. 02Professional summary
  3. 03Skills, as plain comma-separated text
  4. 04Work experience with month and year dates
  5. 05Projects
  6. 06Education
  7. 07Certifications

Use one column and standard section headings

Parsers read left to right and top to bottom. A two-column layout often gets read across both columns at once, which merges your skills into your job titles. Name your sections the way the software expects: Work Experience, Education, Skills, Projects. A creative label like 'Where I've Been' may not get mapped to anything.

Keep your contact details out of the header

Some parsers skip the document header and footer entirely. Put your name, mobile number, email, city and LinkedIn URL in the first lines of the page body so they're always picked up.

Send a DOCX or a text-based PDF

A PDF exported from Word or Google Docs carries real text the parser can read. A scanned PDF, or a resume designed as an image, carries none, so it scores zero however good it looks. If the portal asks for Word format, send a DOCX.

Skip tables, text boxes, icons and skill bars

Tables and text boxes are often read out of order or skipped. Icons for phone and email have no text behind them. Skill-rating bars mean nothing to a parser and very little to a recruiter, so list the skill and show it in a bullet instead.

Match the keywords from the job posting

Your ATS score is largely a match between your resume and the posting. Use the posting's own terms where they're true for you: 'Spring Boot' if that's what it says, 'customer onboarding' if that's the phrase it uses. Put each important skill in your skills list and in at least one bullet that shows you using it.

Write dates and job titles in one consistent format

Pick a date style such as 'Jan 2023 – Present' and use it everywhere. Keep your official job title, and add a clarifier in brackets if your company's title is unusual, like 'Member of Technical Staff (Backend Developer)'.

Questions

What is an ATS-friendly resume?

It's a resume the applicant tracking system can parse correctly: one column, standard headings, real text, and the keywords the job posting uses. It still has to read well for the recruiter who opens it next.

Is PDF or Word better for ATS?

Both work if the PDF is text-based. Export it from Word or Google Docs and never scan it. When the portal names a format, use that one.

Can I use a Canva template for an ATS-friendly resume?

Only a plain single-column one. Many Canva designs use text boxes, columns and graphics that parsers read out of order. Check the result with an ATS checker before you send it.

What is a good ATS score?

There's no universal pass mark, because each employer sets its own filters. Treat the score as a match indicator. Fix the missing keywords and formatting problems it flags, then check again against the same posting.
